We're currently seeking an Administrator Support Officer to join us on a 8-month Fixed Term Full-Time contract. In this role, you'll provide administrative support to our Allied Health team, providing exceptional service to clients, families, and stakeholders across phone, email, and in-person interactions.

As part of the Allied Health team, you will play a vital role in keeping our services running smoothly, with responsibilities spanning customer service, appointment scheduling, referral management, and general administrative support.

This is a 8 month Fixed Term Full Time contract.

Key Responsibilities :

  • Be the first point of contact for all client enquiries, appointments, and referrals
  • Deliver high-quality, empathetic customer service via phone, email, and face-to-face
  • Schedule client appointments, manage group calendars, book rooms, and coordinate cancellations
  • Monitor inboxes and triage referrals
  • Maintain accurate and up-to-date client records
  • Process financial transactions, including petty cash, invoicing, and credit card reconciliations
  • Provide general administrative support including document preparation, meeting minutes, mail handling, and office supply management
  • Assist in travel bookings and staff onboarding support
  • Work collaboratively across the broader administration team to meet service needs

In order to be successful in this role, you will possess the following

  • Previous experience in a front-line customer service or administration role, ideally within health or community services
  • Excellent communication and interpersonal skills with a customer-first mindset
  • High attention to detail and strong organisational skills
  • Confidence in managing competing priorities and working in a fast-paced environment
  • Experience using databases such as TCM or other case management systems is desirable
  • Ability to handle sensitive information with confidentiality and professionalism
  • A collaborative team approach with a willingness to support others across the service
